We’re so excited to have you travel with us. These Terms & Conditions are designed to ensure clarity, transparency, and a smooth experience for all travellers.
By confirming your booking, you acknowledge that you have read, understood, and agree to be bound by the terms outlined below.
Your Information & Privacy
To arrange your travel, we may need to collect and share your personal information with trusted suppliers and service providers. This includes transport providers, hotels, and tour operators.
We are committed to protecting your privacy and will handle your information in accordance with applicable privacy laws.
Payments & Pricing
1. Deposit Requirement
You are required to pay a non-refundable deposit for your booking to be confirmed. Unless otherwise stated in writing, the deposit is 50% of the total booking value.
If you cancel 90 days or more prior to departure, your deposit will be held as a credit, valid for 12 months from the date of issue.
2. Acceptance of Booking & Final Payments
If we accept your booking, we will issue you with a booking confirmation invoice. A contract will exist between you and us from the date we issue the confirmation invoice, or if you book within 90 days of departure, the contract will exist when we accept your payment.
If for any reason we do not accept a booking and payment has been made, this will be promptly refunded.
Final payment of the trip price is due 90 days before departure unless otherwise stated on your invoice.
If you fail to make payment by the due date, we will remind you to do so. Any additional costs imposed by suppliers due to late payment will be your responsibility. If payment is not received within 3 days of the reminder, you will be deemed to have cancelled your booking and cancellation fees under Clause 5 will apply.
3. Prices & Surcharges
Our trip prices are subject to variable and seasonal pricing, which is standard within the travel industry. Prices may vary at any time due to demand, market conditions, and availability. It is possible that different travellers on the same tour may have paid different prices.
Any promotional pricing or discounts offered after your booking is confirmed will not apply. If you cancel to rebook at a lower price, standard cancellation conditions apply under Clause 5.
Prices are based on currency exchange rates at the time of publication and may vary depending on booking currency. While we take care to ensure accuracy, errors may occur. We reserve the right to correct pricing prior to issuing your confirmation invoice. If a corrected price is higher, you may cancel within 7 days of notification for a full refund.
We reserve the right to apply surcharges up to 90 days prior to departure due to changes in exchange rates, fuel costs, supplier pricing, or government taxes and levies. We will absorb increases up to 2% of the trip price; any excess will be payable by you.
If a surcharge exceeds 10% of the total trip price, you may cancel within 14 days of notification and receive a full refund. Credit card surcharges may apply as outlined on your invoice.
Cancellation, Changes & Travel Conditions
4. Supplier Arrangements
Your travel experience is made up of services provided by third-party suppliers such as transport providers, hotels, and tour operators. Each supplier has its own terms and conditions, including cancellation policies, which apply in addition to these Terms & Conditions.
5. If You Need to Cancel
We understand that plans can change. If you need to cancel your booking, the following fees will apply (unless otherwise advised in writing). A cancellation will only be effective once we have received written confirmation from you.
• Deposit: Non-refundable
• 90+ days prior to departure: deposit held as credit (valid for 12 months)
• 89–60 days prior to departure: 50% of total booking value
• 59–30 days prior to departure: 75% of total booking value
• Less than 30 days prior to departure: 100% of total booking value
Please note that different cancellation conditions may apply to certain tours or additional services, as outlined in your itinerary or booking details.
If you leave a tour after it has commenced (other than where we cancel it for operational reasons), no refunds will be provided for unused services.
If you fail to join a tour, join after departure, or leave prior to completion, no refund will be provided for any unused portion of the trip.
6. Changes to Your Itinerary
We may occasionally need to make changes to your itinerary, including accommodation, transport, routing, activities, or timing. Where possible, we will provide a suitable alternative of comparable standard.
7. If We Need to Make Changes or Cancel
In some circumstances, we may need to make changes to or cancel a tour due to operational requirements or factors outside our control.
Our tours generally operate with a minimum of one fully paid traveller unless otherwise specified. If minimum numbers are not met, we may cancel the tour and will provide at least 30 days’ notice prior to departure.
If we cancel your booking, you may choose to:
• Transfer payments to an alternative departure date; or
• Receive a refund, unless the cancellation is due to Force Majeure (Clause 10)
We are not responsible for additional costs incurred, including visas, vaccinations, insurance, or flights.
8. Minimum Group Numbers
Some tours require a minimum number of participants to operate. If this minimum is not reached, we reserve the right to reschedule or cancel the tour and will offer suitable alternatives or refunds based on supplier recoveries.
9. Refunds
If we cancel a tour:
• Refunds will be issued to the extent funds are recoverable from suppliers
• A travel credit or alternative option may be offered
• We are not responsible for additional costs such as visas, vaccinations, insurance, or flights
Nothing in these Terms excludes your rights under Australian Consumer Law, including consumer guarantees.
10. Force Majeure
A Force Majeure event means any event beyond our reasonable control that makes it unsafe, impractical, or not viable for a tour to proceed. This includes natural disasters, extreme weather, government restrictions, public health events, transport disruptions, or civil unrest.
Prior to departure:
We may cancel where a Force Majeure event impacts the destination or travel. You may cancel if prevented from travelling due to such events or government restrictions. In these cases, we will offer:
• Credit for monies paid; or
• Refund less unrecoverable costs
After departure:
We will offer:
• Credit for unused services; or
• Refund for unused services less unrecoverable costs
In all cases:
• No damages are payable
• We are not responsible for additional costs incurred
• Nothing limits your rights under Australian Consumer Law
11. Liability
To the maximum extent permitted by law:
• Our liability is limited to the amount paid for your booking
• We are not responsible for indirect or consequential losses
Nothing in these Terms excludes your rights under Australian Consumer Law.
12. Travel Insurance (Essential)
Comprehensive travel insurance is a condition of booking. It should cover cancellation, medical expenses, and travel disruptions. We may request proof of insurance at any time. If not provided, we may cancel your booking and apply standard cancellation fees.
13. Travel Risks
Travel involves inherent risks. By booking, you acknowledge and accept these risks and agree to the terms outlined in this document.
14. What’s Included
All inclusions and exclusions are outlined in your itinerary. Anything not listed is at your own expense.
15. Passports, Visas & Entry Requirements
You are responsible for ensuring valid passports, visas, and travel documents. We are not responsible for costs or issues arising from incorrect documentation.
16. Health & Fitness
You are responsible for ensuring you are medically and physically fit to travel. We may refuse participation where safety or group experience may be impacted.
17. Behaviour & Conduct
We may remove any traveller whose behaviour is unsafe or disruptive. No refunds will be provided, and additional costs will be your responsibility.
Additional Terms
18. Pricing & Accuracy
We reserve the right to correct pricing errors prior to confirmation. If a corrected price is higher, you may cancel within 7 days for a full refund.
19. Payments & Chargebacks
We may suspend or cancel bookings if payments are reversed. Unjustified chargebacks may result in recovery of costs incurred.
20. Special Requests
Special requests will be passed on but cannot be guaranteed.
21. Photography & Marketing
We may use imagery from tours for marketing purposes. You may opt out prior to departure.
22. Governing Law
These Terms are governed by the laws of Victoria, Australia.
23. Severability
If any provision is invalid, the remainder remains in effect.
